Opening your second diner location: the POS checklist

Everything to set up in your POS before a second diner or restaurant location opens: menu, prices, stock, staff access, reports, kitchen and online store.

Key takeaways

  • Decide what is shared (menu, recipes, customers) and what is local (prices, tables, staff).
  • Give the new manager access to the new location only.
  • Plan stock movement between locations before day one.
  • Set up group reporting so you compare like with like from the first week.

Opening a second diner is the moment a POS either becomes the backbone of the business or the reason you spend every Sunday in spreadsheets. Most of the decisions below take an evening. Making them before opening day saves months.

Shared or local? Decide first

Write down what is shared across locations and what is local. A sensible default for diners:

Shared across the group Local to each location
Master menu (items, names, modifiers) Prices (if costs differ)
Recipes and ingredient costs Which items are sold
Customer list and loyalty points Tables and floor layout
Suppliers Registers, printers, kitchen screens
Brand, receipts template Staff and their access
Reporting structure Stock on hand

If your current POS can’t separate these, it will force you to duplicate the menu — the start of drift. See managing prices across locations.

The checklist

  • One master menu; no duplicated items for the new location
  • Price list for the new location if rent, wages or tax differ
  • Items switched off where the new kitchen can’t make them
  • Tax group for the new location’s rate

Stock

  • New location set up with its own stock
  • Opening stock counted and entered the day before opening
  • Decide which location (or a commissary) supplies the other, and use stock transfers
  • Low-stock alerts on key items

People and access

  • Manager role copied and limited to the new location
  • Staff logins created — no shared passwords
  • Discounts, refunds and voids need manager approval
  • Servers set as service staff for table reports

Front of house and kitchen

  • Tables added
  • Receipt printer, kitchen printer and/or kitchen screen tested
  • Card terminal set up with your processor
  • Training shift booked before opening

Reports

  • Owner login can see both locations
  • Daily: sales by location, register closings
  • Weekly: trending items per location, voids and discounts by staff
  • Monthly: profit and loss per location

Online

  • Online store enabled for the new location with its prices
  • Google Business Profile for the new location with hours, menu and store link
  • Website location page (a managed website can do this for you)

The first month

Compare the new location to the first one by the same reports, on the same day each week. Expect lower sales; watch for higher voids, discounts or food cost per sale — those are the early signs of training gaps.

FAQ

Questions about this topic

Do I need a new POS when I open a second location?

Not necessarily, but you need one that handles several locations from one account: a shared menu, per-location prices and stock, central reports and location-limited staff access.

Should the second location have the same menu?

Usually the same master menu, with a few items switched off if the kitchen differs, and its own price list if its costs differ.

How do I give the new manager the right access?

Copy your manager role, remove anything group-wide (purchasing, other locations, payroll), and grant access to the new location only.

How do I handle stock between the two locations?

Record every movement as a stock transfer, and if one location will supply the other, treat it like a commissary.

Do I need separate card processing for the new location?

Usually a separate terminal and often a separate merchant ID per location; check with your processor.

What reports should I check in the first month?

Daily sales by location, register closings, trending items, and voids/discounts by staff member.

Does the online store need a separate setup?

If it reads your POS catalogue, just enable the new location and its prices.

What does a second location cost on GetDinerPOS?

Moving from Counter to Chain, each location is $55 per month in the USA, AED 199 in the UAE and Rs 4,499 in Pakistan.
