Staff roles per location

Restaurant staff permissions by role and by location

In GetDinerPOS every staff member has a role (cashier, server, kitchen, manager, owner or one you create) and a list of locations they can access. A manager at the Main Street diner can run reports and change prices there, and sees nothing from the other branches. Every void and discount is recorded against the person.

Why limit staff by location as well as by role?

Because a manager role is not the same at every branch. You want your downtown manager to approve refunds and see downtown's numbers, not the whole group's payroll and margins.

Two settings do it: what someone can do (the role) and where they can do it (location access). Combine them and you can hand out access without worrying.

Shared logins are the other problem. When “manager / 1234” is used by four people, nobody voided anything. Individual users make every action traceable.

What staff roles does not do

Knowing the edges helps you plan. If one of these matters to you, ask on your demo.

  • Payroll calculation and attendance come from the HR add-on, which we enable on request.
  • Role permissions are set by the business owner or an admin; staff cannot raise their own access.

FAQ

Staff roles: questions owners ask

Can a manager only see their own location?

Yes. Give the manager role and grant access to that one location. Reports, stock and sales from other branches stay hidden.

Can I create my own roles?

Yes. Start from the built-in roles or create new ones and tick exactly which actions each role can perform.

Can I stop cashiers giving discounts or refunds?

Yes. Discounts, refunds, voids and price edits are separate permissions you can switch off for any role.

Does every staff member need their own login?

We recommend it, and there is no per-user fee, so there is no reason to share logins.

Can servers be linked to tables and orders?

Yes. Service staff are assigned to orders, which powers the server and table reports.

Is there a clock-in for staff?

Yes, through the HR add-on (attendance, shifts, leave). Ask on your demo to have it switched on.

Can one person work at two locations?

Yes. Grant them access to both and they can switch between them.

Are there per-user fees?

No. Pricing is per location; add as many staff users as you need.
